Modern Fleet Excellence

Licensed and Insured

When you’re moving 50 fifth graders to a museum across town, safety isn’t a feature — it’s the only thing that matters. Urban Sherpa Travel runs K-12 field trip charter bus service for public, private, and charter schools across New York City and New Jersey, and we plan every trip the way administrators want: paperwork in order, drivers vetted, and the route confirmed before the bus pulls up.

Every charter ships with full insurance documentation, drivers who clear background checks and hold the proper passenger-transport licensing, and a pre-trip route confirmation reviewed with your trip coordinator. If your district requires specific certificates, additional insureds, or signed acknowledgments before the bus is approved, send us the requirements at the time of booking, and we’ll handle the paperwork on our end.

Working With School Administrators

We’ve worked with public school districts, independent schools, charter schools, and after-school programs across the region. Here’s what to expect:

  • Booking & paperwork. Quote in writing, insurance certificate issued on request, and any district-specific forms completed before the trip is confirmed.
  • Billing. Invoicing to the school, PTA, district, or third-party booster—whichever owns the line item. Purchase orders accepted.
  • Confirmation process. Final headcount and timing confirmed in the week leading up to the trip.
  • Day-of communication. Driver contact, dispatch contact, and an arrival confirmation upon the bus’s arrival at the school.

School Field Trip Charters — FAQ

Yes. Certificates of insurance are issued in advance and can be customized to your district’s required language, additional insureds, and coverage formatting.

No fixed minimum. We size the vehicle to your group — from smaller shuttles for single-classroom trips up to full motorcoaches for grade-level outings. Multi-vehicle bookings are common for large school field trip days.

We invoice schools, districts, PTAs, or third-party trip organizers directly. Purchase orders are accepted, and payment terms can be adjusted for established school accounts.
